Cost Savings

Optimizations Guide

Track, manage, and implement cost-saving opportunities identified in your software portfolio.

Optimization Status Workflow

Each optimization opportunity moves through a workflow as you review and implement it.

New

Newly identified opportunities awaiting review.

Under Review

Currently being evaluated by your team.

Approved

Approved for implementation.

Completed

Successfully implemented and savings realized.

Not Valid

Dismissed - not applicable to your environment.

Not Doing

Valid but not pursuing at this time.

1

Dashboard Overview

Track your optimization metrics

The Optimizations dashboard shows key metrics and charts to help you understand your savings potential.

Total Potential Savings

Sum of all identified optimization opportunities

Realized Savings

Savings from completed optimizations

Active Opportunities

Count of optimizations being worked on

Completion Rate

Percentage of opportunities completed

Savings by Category

Pie chart showing savings distribution across categories (Unused, Duplicate, Rightsizing, etc.)

Monthly Trend

Chart showing realized savings over time

2

Review Opportunities

Evaluate cost-saving recommendations

Each opportunity card shows key details to help you decide whether to pursue it.

1

View Opportunity Details

Click on an opportunity to see:

  • Software Name - The affected application
  • Category - Unused, Duplicate, Rightsizing, Renegotiation
  • Estimated Savings - Potential cost reduction
  • Recommendation - Suggested action to take
  • Affected Systems - Where the software is installed
2

Verify the Finding

Confirm the opportunity is valid for your environment. Check if:

  • The software is actually unused (not just idle)
  • Duplicate installations can be consolidated
  • Rightsizing won't impact functionality
3

Update Status

Move the opportunity to the appropriate status based on your decision

3

Optimization Categories

Types of cost-saving opportunities

Unused Software

Software licenses with no detected usage. Return or reallocate these licenses.

Duplicate Installations

Same software installed multiple times unnecessarily. Consolidate to reduce license count.

Rightsizing

Enterprise editions that can be downgraded to standard without losing needed features.

Renegotiation

Opportunities to renegotiate contracts based on usage data and market pricing.

4

Filter & Search

Find specific opportunities

Use filters to focus on specific types of opportunities.

Filter by Status

Show only New, Under Review, Approved, Completed, etc.

Filter by Category

Focus on Unused, Duplicate, Rightsizing, or Renegotiation opportunities

Search

Search by software name or vendor

5

Complete an Optimization

Track realized savings

After implementing an optimization, mark it as completed to track your realized savings.

1

Implement the Change

Uninstall unused software, return licenses, or renegotiate contracts

2

Mark as Completed

Change the status to "Completed" and enter the actual savings amount

3

Track in Dashboard

Completed optimizations contribute to your realized savings totals

ROI Tracking

Realized savings are shown on the main Dashboard ticker and in the Optimizations dashboard, helping demonstrate ROI to stakeholders.

Optimization Best Practices

Start with High Value

Focus on the largest savings opportunities first for maximum impact.

Involve Stakeholders

Get buy-in from software owners before removing or downgrading.

Document Everything

Keep notes on why opportunities were approved, rejected, or deferred.

Review Regularly

Check for new opportunities weekly as agents discover more data.
